Payroll Administrator

Introduction
The Payroll Administrator works closely with both the payroll and human resources teams to provide assistance with a variety of payroll and human resources related functions. The Payroll Administrator will be co-responsible for the processing of multiple automated and manual payrolls and related payroll functions, ensuring the timely and accurate delivery of services while providing essential reporting on a monthly, quarterly and annual basis. This is a multifaceted role; candidates must be able to demonstrate their ability to multi-task and prioritize in a time-sensitive environment. 

Location and Reporting Structure

Based in the Vancouver Corporate office, this position works under the direct supervision of the Payroll Supervisor and reports to the Corporate Human Resources Manager.

Duties and Responsibilities

  • Keeps current to changes in regulation relating to payroll and human resources;
  • Works collaboratively and effectively with payroll and human resources teams, other departments and external stakeholders;

Payroll:

  • Processes payrolls for Canadian, US and international employees using B2Gold systems, currently:
    • Canadian automated payroll system: ADP Workforce Now;
    • US automated payroll system: ADP Workforce Now;
    • International payroll: In collaboration with external service providers, manually using Excel spreadsheets;
  • Enters timesheets, updates and changes into payroll systems to facilitate the completion of each payroll;
  • Prepares semi-monthly and monthly payroll for per diem and salaried employees; Prepares payroll journal entries, funding and deposit advices;
  • Processes annual T-4's & W2’s and related general ledger reconciliations;
  • Maintains accurate and complete payroll records, maintaining the highest level of confidentiality at all times;
  • Prepares reconciliations related to source deductions, benefit provider invoices and other remittances;
  • Works collaboratively with payroll team and accounting team to ensure employee receivables and reimbursements are processed timely and accurately;
  • Ensures taxable incentives are appropriately recorded in payroll processing;
  • Reviews international tax certificates and distribute related documentation;

Human Resources:

  • Assists with benefit programs and acts as the liaison between benefit providers and employees;
  • Works with HRIS to ensure employee records are appropriately maintained;
  • Responds to telephone and written enquiries from employees regarding personnel matters promptly and with tact and diplomacy;
  • Tracks vacation and related accruals;
  • Supports the human resources team with various projects and initiatives;
  • Perform other duties as required in support of Company objectives.

Competencies and Requirements
The successful candidate will have demonstrated experience working within a collaborative high functioning-team. The ability to maintain excellent levels of accuracy while meeting deadlines is imperative. Being reliable, solutions-oriented and a strong communicator is also essential.  Other qualifications include:

  • PCP designation or nearing completion or equivalent/comparable coursework;
  • 3 – 4 years of automated Canadian payroll experience, ideally using ADP Workforce Now.  Preference will be given to candidates who also have US/international payroll experience;
  • Solid understanding of basic accounting and the manual payroll process;
  • Advanced level Excel skills including vlookups, pivot tables, advanced formatting and formula use;
  • Intermediate level use of other Office programs;
  • Excellent communication skills, both written and verbal;
  • Experience using an HRIS system;
  • English/French bilingual is an asset.

ERP Coordinator, Mali

Introduction

The ERP Coordinator (“ERPC”) is responsible to ensure that ERP related applications are deployed and working efficiently within the business and are in line with the organization’s strategy and requirements. The ERPC will be part of the Fekola ERP team and will work closely with the end-users of the various systems, IT department and developers of the various systems.

Current systems in place include: Sage X3 ERP, Pronto Xi CMMS, FMA, Hubbub, C-Safe, Nomadis, Gallagher, Jarrison and RH PAIE.

Location and Reporting Structure

Reporting to the Financial Manager, this position will be a fly in – fly out rotation, based at the Fekola Gold Project in Mali.

Duties and Responsibilities
Specific Duties

Currently Installed Applications:

  • Provide subject experience and implementation skills for ERP solutions;
  • Seek to understand and translate business operational process needs into improvements specifications for ERP and related applications;
  • Work with suppliers and customers to ensure that existing applications are optimized to meet business needs;
  • Manage and develop data integrity and security standards for systems, coordinating requests for access within agreed parameters;
  • Provide support outside core hours for extended support during project implementations when required by the business;
  • Build and manage the relationship with the applications supplier and business to maintain a continuous level of remote and on-site support;
  • Manage all Service Level Agreements (SLA) for any ERP related contracts;
  • Liaise with the solutions provider on issues pertaining to routine and ad-hoc maintenance, technical support and development;
  • Organize regular meetings with system users to maintain working awareness of their service operations;
  • Ensure change control for all business applications and thorough System/UAT testing prior to full and controlled release of any application;
  • Assist IT and Support Desk as necessary to provide first class support and satisfy the needs of the applications end users. Manage support calls and liaise with consultants, technicians, and developers to ensure prompt resolution of requests;

New Applications:

  • Identify suitable new and emerging technologies, develop business cases and coordinate proof of concept;
  • Work with suppliers and customers to implement new applications or new modules within existing applications;
  • Manage and plan a schedule for the safe introduction of new releases/patches to meet the service requirements;
  • Ensure all project changes are fully documented and colleagues trained prior to handover to the business owner;

General Duties
Stakeholder Liaising:

  • Build and maintain healthy and transparent relationships with stakeholders (internal and external);
  • Act as an interface between the end-user and technical consultants and provide advice on the interpretation of relevant procedures;

Corporate Governance & Quality Assurance:

  • Develop and apply mechanisms and structures to ensure adherence to governance practices (like SOX) over the various systems;
  • Assist with audit enquiries (external or internal);

Competencies and Requirements

  • Sage Enterprise Management (Formally Sage X3) Certification or Pronto Xi CMMS Certification or Microsoft SQL Certification (MCSA) or Microsoft Certification (MCTS / MCITP)
  • At least 3 years’ post-qualification relevant experience, of which most should have been in the mining industry
  • Extensive Database knowledge & experience (MS SQL & IBM Informix) and Sage X3 ERP or Pronto Xi CMMS experience. Programming in SQL would be advantageous
  • Previous experience working on rotations in remote areas such as Africa would be considered an asset
