Payroll Assistant/Administrator

Introduction
The Payroll Assistant works closely with both the payroll and human resources teams to provide assistance with a variety of payroll and human resources related functions. The Payroll Assistant will assist with the processing of multiple automated and manual payrolls and related payroll functions, ensuring the timely and accurate delivery of services while providing essential reporting on a monthly, quarterly and annual basis. This is a multifaceted role; candidates must be able to demonstrate their ability to multi-task and prioritize in a time-sensitive environment.

Location and Reporting Structure
Based in the Vancouver Corporate office, this position works under the direct supervision of the Payroll Supervisor and reports to the Corporate Human Resources Manager.

Duties and Responsibilities

  • Keeps current to changes in regulation relating to payroll and human resources;
  • Works collaboratively and effectively with payroll and human resources teams, other departments and external stakeholders;

Payroll:

  • Processes payrolls for Canadian, US and international employees using B2Gold systems, currently:
  • Canadian/US automated payroll system: ADP Workforce Now;
  • International payroll: In collaboration with external service providers, manually using Excel spreadsheets;
  • Prepares payroll journal entries, funding and deposit advices;
  • Processes annual T-4's & W2’s and related general ledger reconciliations;
  • Prepares reconciliations related to source deductions, benefit provider invoices and other remittances;
  • Works collaboratively with payroll team and accounting team to ensure employee receivables and reimbursements are processed timely and accurately;
  • Ensures taxable incentives are appropriately recorded in payroll processing;

Human Resources:

  • Responds to telephone and written inquiries from employees regarding personnel matters promptly and with tact and diplomacy;
  • Tracks vacation and related accruals;
  • Supports the human resources team with various projects and initiatives;
  • Perform other duties as required in support of Company objectives.

Competencies and Requirements
The successful candidate will have demonstrated experience working within a collaborative high functioning-team. The ability to maintain excellent levels of accuracy while meeting deadlines is imperative. Being reliable, solutions-oriented and a strong communicator is also essential. Other qualifications include:

  • PCP designation or nearing completion or equivalent/comparable coursework;
  • Minimum 2 years of Canadian payroll experience, with at least one year using an automated system, ideally ADP Workforce Now. Preference will be given to candidates who also have US/international payroll experience;
  • Solid understanding of basic accounting and the manual payroll process;
  • Required: Advanced level Excel skills including vlookups and pivot tables;
  • Intermediate level use of other Office programs;
  • Excellent communication skills, both written and verbal;

Office Assistant, Vancouver

Location and Reporting Structure
Based in the Vancouver Corporate office, this position reports directly to the Office Manager.

Introduction
The Office Assistant plays a key role in the organization and daily operations of the office. The Office Assistant is responsible for providing general office support to the entire office, and administrative support to a few senior staff members.

Duties and Responsibilities

Assisting our Administration Department

  • Order and maintain office and kitchen supplies;
  • Maintain tidiness of common areas and meeting rooms;
  • Liaise with building services regarding tenant issues;
  • Maintain office equipment;
  • Maintain relationships with vendors;
  • Distribute mail, couriers, and faxes;
  • Document preparation including emails, forms, letters, and memos;
  • Assist with photocopying, scanning, faxing, and binding;
  • Prepare and arrange off-site file storage;
  • Telephone administrator; and
  • Support on-site meetings and events, including meeting room bookings, set-up, catering, and clean-up.

Assisting with Reception Coverage

  • Answer and forward calls, conveying exemplary phone etiquette;
  • Greet guests and employees in a friendly and helpful manner;
  • Receive, send, and distribute mail and courier packages;
  • Manage meeting room calendar; and
  • Receptionist back-up, as required.

Competencies and Requirements

  • Intermediate skills in Microsoft Office (Word, Excel, and Outlook);
  • Previous experience working in an office administrative role;
  • Strong interpersonal and communication skills (both written and verbal);
  • Ability to work independently and as a team;
  • Professional, friendly, enthusiastic, outgoing, and positive;
  • Superb multi-tasking, organizational, time-management, and prioritization skills;
  • Strong memory, accuracy, attention to detail, and problem-solving skills;
  • Must be proactive and takes initiative; and
  • Ability to maintain confidentiality.

Introduction
The Investor Relations (“IR”) Administrative Assistant plays a key role in the organization and daily operations of the IR department. As well as providing support, this position requires flexibility, problem solving, professionalism, confidentiality, and a high attention to detail in an interesting and dynamic work environment.

Location and Reporting Structure

Based in the Vancouver Corporate office in the heart of the business district, with direct links to public transit.

Reporting Structure

Reports directly to the VP of Investor Relations and supports the Manager of Investor and Public Relations.

Duties and Responsibilities

  • Prepare documents including emails, forms, letters, and memos;
  • Photocopy, scan, fax, and bind documents;
  • Support on-site and off-site IR meetings, conferences and events, including meeting room bookings, set-up, presentations, webcasting, etc.;
  • Maintain and update the B2Gold and IR master schedules;
  • Make and manage all travel arrangements;
  • Support and participate in the dissemination of press releases;
  • Assist with updating and maintaining the corporate website and handout material;
  • Conduct online research;

Competencies and Requirements

  • Relevant College Diploma or University Degree;
  • Minimum of 2 years’ administrative experience in a similar role;
  • Excellent command of the English language (verbal and writing skills) is imperative;
  • Advanced knowledge of Microsoft Outlook, Word, Excel and PowerPoint;
  • Working knowledge of design software such as In-Design, Adobe Illustrator and Photoshop will aid the incumbent in the role and will thus be a definite advantage;
  • Ability to work independently and in a team environment;
  • Ability to prioritize, multitask and thrive in a fast-paced environment; and
  • Be willing to work outside normal business hours.

Deputy HME Manager, Mali

Introduction
The Deputy HME Manager is responsible for ensuring that all mobile equipment is in good condition and working order. The incumbent will be involved in mitigating problems arising daily by providing cost effective solutions and effective strategy on repairs. The successful candidate will be responsible for maintaining high standards of workplace health and safety at all times.

The Deputy HME Manager will be responsible for planning, leading, organizing, and supervising the day to day activities of the Mobile Equipment Maintenance, controlling the quality of repairs, PMS, implementation of safety fleet standards, and performance appraisal of subordinates.

Location and Reporting Structure

Reporting to the HME Manager and covering for the HME Manager while on their scheduled time off, this position will be a fly in – fly out rotation, based at the Fekola Gold Project in Mali.

Duties and Responsibilities

  • Adhere to and support all company related policies and procedures;
  • Manage the earthmoving equipment workshop in order to achieve optimal availability, utilization and performance objectives;
  • Evaluate and determine manpower requirements and deployment to achieve optimum utilization of resources to achieve objectives;
  • Review and determine mechanical equipment scheduled maintenance requirements in order to optimize maintenance costs and engineering down time;
  • Review maintenance performance reports and equipment repair history and recommend and implement corrective action;
  • Review component change out intervals and determine an economical component change out schedule to minimize unplanned downtime;
  • Plan major repairs/overhauls of machinery, in conjunction with the Maintenance Planner, suppliers and contractors, in order to minimize downtime;
  • Ensure machine operation and maintenance within the confines of the contracts with various suppliers and warranty agreements;
  • Ensure efficient and adequate technical post-mortems on component failures and implement preventative actions;
  • Implement, monitor and maintain condition monitoring program;
  • Implement, monitor and maintain tyre management system;
  • Plan and recommend future capital and manpower requirements;
  • Prepare and manage approved capital and working cost budgets for the HME section;
  • Monitor and evaluate stockholding and movement of spares and ensure availability of sufficient consumable and critical spares to maintain the fleet;
  • Monitor expenditure on HME equipment, report on Life Cycle Costing and determine the economic replacement criteria for components and equipment;
  • Actively participate in safety and/or toolbox meetings, and conduct a monthly safety inspection of work area based on the schedule set by Management;
  • Maintain a safe working environment and keep the assigned work area clean and tidy;
  • Report all unsafe acts and conditions as well as injuries, accidents, equipment damage and near miss incidents in a timely manner;
  • Conduct and participate in investigations for all injuries, accidents and equipment damage in line with Company Policy and prepare all documentation in a timely manner;
  • Develop and implement good housekeeping;
  • Encourage all employees to develop and maintain a safe working attitude;
  • Ensure prompt action of all corrective actions of investigations, inspections and audits;
  • Ensure all safe working procedures are documented and adhered to; and
  • Other duties as set out by the Company.

Competencies and Requirements:

  • Tertiary qualification in Mechanical Engineering;
  • Minimum 10 years’ experience in engineering with earthmoving equipment and workshop management;
  • Minimum of 5 years’ experience in a senior management role;
  • Experience with workplace safety programs; and
  • Possession of Code B drivers’ license.
